General Booking Terms and Conditions

All accommodation reserved at the IGLOO HYBRID & SHED by the guest shall be subjected to the following terms and conditions. Please read through them thoroughly for they relate to the booking you have made with us. Should you wish to discuss any element contained within these terms and conditions, please contact the hostel. All elements are enforced at the time of booking, unless special exemption has been negotiated with senior management and the guest. No variation to these conditions shall be effective, unless made in writing and signed on behalf o IGLOO HYBRID & SHED and the guest.

1. Booking & Cancellation

(a) Any deposit requested for bookings are non-refundable unless section(d) refers below.

(b) Acceptance of a booking, whether verbally or in writing, shall create a legally binding contract between the Hostel and the person from whom the booking has been accepted (the guest). Where the guest gives credit or debit card details to the Hostel in order to guarantee a booking or in order to make payment of a deposit or in any other circumstances, then it is agreed between the parties that in the event of cancellation or non-payment the Hostel may debit the guest's credit or debit card with the full amount of the cancellation charge, any amount outstanding at the end of their stay or in respect of any damage or loss of property.

(c) The Hostel will take all reasonable steps to fulfill the reservation to best of its ability in the accordance with details provided, however it reserves the right to provide alternative services of at least equivalent standard at no additional cost to the guest.

(d) The Hostel reserves the right to cancel a booking forthwith and without liability on its part in the event of damage or destruction to the Hostel by fire or any other cause beyond the control of the Hostel which shall prevent it from performing its obligations in connection with any booking. In such an event the Hostel will refund any deposit made but will have no further liability to the Guest.

(e) Whilst the Hostel is taking reasonable steps to ensure that information contained within its brochures, tariffs, leaflets, website and other advertisement materials is accurate, it reserves the right to alter, substitute or withdraw any service, facility or amenity without notice if necessary.

Cancellation

(f) Cancellation within 3 days before the booked accommodation date will incur a 100% charge of anticipated revenue. The full cost of all days booked will be charged to the card provided, as security. Any change in respect of the booked dates even if the guest rebooks a new period at a later date will be classed as a cancellation. For all group bookings, the cancellation period will be set by a manager at the time booking is made.

(g) Unless your Booking has already been cancelled in accordance with Clause(f), your failure to arrive for a Booking before Midnight on the first night of the Scheduled Stay will be treated as a cancellation made on less than 3 days notice and a Late Cancellation Charge may be made by the Hotel.

(h) If you anticipate that you will fail to arrive for a Booking by midnight deadline specified in Clause(g), you must let the Hostel know and agree an alternative arrival time which will replace the deadline.

(i) If after arrival you fail to stay for the full period the Hostel will, if it so wishes, be entitled to recover from you the full amount as reimbursement for revenue lost as a result of the room sitting empty.

2. Liability of the Hotel

(a) The Hostel does not accept responsibility for loss of or damage to any cash, money, jewelry or other articles of value UNLESS they are deposited at the Reception Office for safe keeping and a receipt is handed to the Guest by the recipient. The receipt must be presented by the Guest to reclaim their property or in the event of a claim.

(b) The Hotel does not accept liability or damage to any other property of a Guest, but in certain circumstances may be liable to make good any loss or damage. However this will be limited to £50 for any single article and subject to a total of £100 in the case of any one Guest. No liability is accepted for any consequential loss arising from loss of or damage to property of the Guest. The Hostel does not accept responsibility for loss of or damage to motor cars or other vehicles of any kind, or any property lost in them; motorbikes, bicycles horses or other vehicles.

(c) Guests should also refer to the Notice relating to Loss or Damage to Guest's Property displayed in Reception under the The Hotel Proprietors Act 1956.

(d) The guest undertakes to conduct his/her stay in an orderly manner and in full compliance with the rules of the hostel manager with all applicable legislation. Should infringements of this nature occur repeatedly during a stay, the hostel reserves the right to halt the event and have the facilities vacated.

(e) The Hostel accepts no party group bookings, stag or hen night bookings and reserves the right to cancel a booking and have the rooms and facilities vacated should the stated nature of your stay be found to be untrue.

3. Lost Key

Should a guest lose their room and/or front door keys or not hand it into reception when they checkout then they will be charged £20.00 to cover the cost of replacement.

4. House Rules

In order to remain in the hostel a guest must behave properly, respect others, follow the hostel rules and regulations and must pay the amount charged within the correct time frame.  A guest becomes a trespasser when s/he conducts himself/herself in a disorderly manner and refuses to leave upon request. The hostel has the right to refuse, or eject any guests that do not comply with these rules.

(a) Igloo Hostels are non-smoking hostels, anyone found to be smoking on our premises will be charged £100 and evicted with no refund.

(b) The use of fire hoses, fire escapes, fire extinguishers and fire buttons is only allowed in case of emergencies. Abuse of this is sanctioned with a charge of £100 Guests who deliberately cause a false alarm will have to refund all costs to Igloo Hostel.

(c) Photo ID is required for all guests staying at any of our premises.

(d) Please help keep our hostel tidy for all our guests and leave the bathroom and kitchen clean and tidy for the next person, please let us know if something isn’t right.  

(e) All types of drugs are forbidden in all parts of the building anyone in possession of drugs will be evicted immediately.

(f) It is forbidden to bring non-guests back to the hostel and let people in through the front door.

(g) Any guest(s) who, in the opinion of our staff, compromises the comfort, safety or security of other guests or staff will be asked to leave the hostel and will not receive a refund.

(h) Upon the expiration of the rental period, the hostel guest has no right to use the room. S/he loses any privacy interest associated with it.

5. Under 18s, Children and Families

(a) Families of all ages are more than welcome at Igloo Hostel. Where a booking is made for a family or  group including any Guests who are under 18, the Booking must be for an entire dormitory or private room.

(b) Igloo Hostel  does not accept bookings made by guests who are under the age of 18 except for if they are 16 / 17, have a full photo ID such as passport or drivers licence and can bring a passport photocopy of their parents or legal guardian as well as a parental consent form (issued by Igloo Hostel) OR  else they must be accompanied by a parent or supervising adult at all times whilst on the Hostel premises.

(c) Adherence with all child protection and safeguarding rules remains the responsibility of the parent or supervising adult of any Guests under the age of 18; Igloo Hostel accepts no such responsibility and will at no time stand in loco parentis in relation to any Guest under the age of 18.

6. Damage to Igloo Hostel’s Property

While we fully understand that accidents can happen, guests will be expected to reimburse Igloo Hostel for any damage caused by inappropriate behaviour during their stay. This can include damage to bedding, walls, furniture and fixtures and fittings and the appropriate charge will be made to the card used for the reservation.

By making a reservation, the guest agrees to the terms & conditions and the house rules.
